Book a bed, pay, and manage your stay online
A complete walkthrough of the Evandy website and student portal — from finding a room and registering, to declaring payments, downloading receipts, and reporting a fault.
01Overview
Everything a student does with Evandy happens in two places: the public website, where you book and pay, and the portal, where you manage your stay after you're in.
The website
Open to everyone. Discover the hall, pick a campus, verify or register, choose a room and bed, and see how to pay.
The student portal
Your private area after you have an account. Check your room and balance, declare payments, download receipts, and report faults.
Evandy serves four campuses — UG Legon, KNUST Main, KNUST Annex, and UG City Campus. You'll choose yours early; from then on the site only shows rooms, prices, and options for that campus.
02The booking journey
Booking a bed is three moves, exactly as the home page promises: find a room, pay, and you're in.
A new student registers and reserves a bed, then pays to confirm it. A current resident verifies their identity first, then continues. Either way, your bed is held the moment you reserve, and confirmed once the office sees your payment.
03The public website, page by page
Every page you'll meet on the way to booking a bed — what it's for and what to do on it.
Home page
The front door. It introduces the hall — prime locations, 24/7 security, seamless booking, community — and points you to start a booking.
- Read the highlights and the three-step summary.
- Press Book Now (or Start booking) to begin, or Login if you already have an account.
Locations
Choose the campus you're booking for. This sets the branch for everything that follows — rooms, prices, and availability.
Resident type
Tell the site whether you're a current resident (already living at Evandy) or a new resident. It also shows a notice if registration is currently closed.
Current-resident verification
Current residents prove who they are before continuing. Enter your student ID; a one-time code is sent to your phone. This protects your record from anyone else booking in your name.
- Enter your student ID and request the code.
- Type the 6-digit code you receive to continue to room selection.
Room types
Browse the room classes available on your campus with their prices, and choose the one you want.
Bed search
Narrow down to a specific bed — filter by block, room type, and gender, and pick the exact bed you want to reserve.
Registration form
Where you become an Evandy student. Fill in your personal, academic, and guardian details, choose a portal password, and accept the rules.
- Complete Personal (name, gender, phone, email) and Academic (institution, level, programme) sections.
- Add your Guardian details and create your portal password — your Student ID plus this password is how you'll sign in later.
- Tick I agree to the Rules & Regulations, then Complete registration. Your bed is reserved and a welcome message is sent.
Payment instructions
How to actually pay — by USSD/Mobile Money or at a partner bank — so the office can confirm your bed.
Guidelines, Terms & Support
The reference pages, always linked in the header and footer: the hall Guidelines, the Terms of Service (Rules & Regulations of Hall Accommodation — the same document you accept at registration), the Privacy Policy, and Support for contacting the office.
04Booking flows, step by step
Registering as a new student
- Locations — choose your campus.
- Resident type — choose New resident.
- Room types → Bed search — pick a room class and a specific bed.
- Registration form — enter your details, set a password, accept the terms. Your bed is now Reserved and you get a welcome SMS/email.
- Pay 60%+ so the office can confirm the bed. Track everything afterwards in the portal.
Verifying as a current resident
- Resident type — choose Current resident.
- Verification — enter your student ID, then the one-time code sent to your phone.
- Continue to room selection with your identity confirmed.
Choosing a room & bed
- Room types — compare classes and prices for your campus.
- Bed search — filter by block, type and gender; select the exact bed.
- Proceed to registration (new) — the bed is reserved when you complete the form.
05The student portal, screen by screen
Once you have an account, the portal is your home base. Sign in with your Student ID and password to reach it.
Signing in
Choose your campus, enter your Student ID and the password you created at registration. Forgot it? Use Forgot password? (covered below).
- Select your campus.
- Enter Student ID and password, then Login.
Dashboard
Your overview at a glance: your room assignment, your account balance, and your history. Everything else in the portal is one click away in the sidebar.
- Room Assignment — room number, block, floor, and type, with a booking badge (e.g. Confirmed).
- Account Balance — room price, amount paid, and outstanding balance, with your resident status.
- History — switch between Payment History and Room History.
Profile
Your personal and academic details on record. Check them for accuracy and contact the office if anything needs correcting.
Submit Payment
Tell the office about a payment you've made so they can apply it to your account. You're not paying through the portal — you're declaring a payment you made by MoMo, bank, or cash.
- Choose the channel (MoMo, Hubtel, Stanbic, First Atlantic, Access, or Cash) and, for MoMo, the network.
- Enter the amount, the transaction / reference ID (required for everything except cash), the depositor's name, and an optional receipt photo.
- Submit. Your declaration is now Pending; the office reviews it (allow up to 72 hours). Track it under My Submissions.
My Receipts
Your official receipts, newest first. Open any one to view, print, or share it — each carries a verification link and QR so it can be checked as genuine.
Report a Fault
Report a maintenance problem in your room and follow it to completion.
- Choose a category (plumbing, electrical, door & lock, furniture, water, and so on), describe the issue, and optionally add a photo.
- Track it under My Reports as staff move it through to Completed.
- When it's marked complete, confirm the fix — or reopen it with a note if it isn't resolved.
Change & reset password
Keep your account secure. Change Password (inside the portal) updates it while you're signed in. Forgot password? (on the login page) resets it if you're locked out — enter your campus and Student ID, then the code sent to your phone, and set a new password.
06Statuses & what they mean
The labels you'll see on your dashboard and your submissions, explained.
Your booking
| Status | Meaning |
|---|---|
| Reserved | Your bed is held. Pay to confirm it before the deadline. |
| Confirmed / Paid | Your payment has secured the bed — you can move in. |
Your residency
| Status | Meaning |
|---|---|
| Resident (IN) | You're registered to a room. |
| Not resident (OUT) | You've withdrawn or aren't assigned to a room. |
A payment you submitted
| Status | Meaning |
|---|---|
| Pending | Received; the office hasn't reviewed it yet (allow up to 72 hours). |
| Processed | Accepted and applied to your account — your balance updates. |
| Rejected | Not accepted; the office note explains why. Re-submit with the correct details. |
A fault you reported
Staff move a ticket up to Completed; then you either confirm the fix (closing it) or reopen it with a note.
One-time codes (OTP)
Verification and password-reset codes are 6 digits, valid for about 10 minutes, and you can request a new one after a short cooldown. They're sent to your phone and email.
